Proposals

Build a proposal from blocks, send it, and follow its status until your client decides.

The editor

A proposal is a list of blocks. Adding a block from the palette puts it at the end; drag a block by its handle to move it, and use its actions to duplicate or delete it.

Text fields support bold, italic, strikethrough, lists and links: select some text to see the options.

Switch between desktop, tablet and mobile widths to check the layout, and use Preview to see the proposal as your client will. Your own visits are not tracked while you are signed in.

Autosave

Changes to blocks are saved about two seconds after you stop editing. The editor shows Saving..., Saved or Save failed.

The proposal's total value is the sum of quantity × unit price over its Pricing blocks. Pricing Table blocks are not counted.

AI drafting

9 block types have an AI button that drafts the block's content from the proposal title, the client's name and your company name.

Each successful draft uses one credit. Credits reset at the start of each calendar month. During the trial you have 10.

  • Starter: 25 credits a month
  • Pro: 100 credits a month
  • Agency: 500 credits a month

Images

Image blocks take a web address or an uploaded file: PNG, JPEG, WebP or GIF, up to 10 MB. Your workspace logo, set in Settings → Branding, can be PNG, SVG, JPEG or WebP, up to 2 MB.

Templates

Start a new proposal from a template, or create your own templates in Templates. How many custom templates a workspace can keep depends on the plan:

  • Starter: 3
  • Pro: unlimited
  • Agency: unlimited

Sending

Send marks the proposal as sent and emails the client a link to it. The email goes to the client's address, and replies come to you.

Every proposal has its own private link, built from a long random token. Copy it at any time from Share Link in the editor to send it through your own channels.

Pressing Send again on a proposal that is already sent or viewed emails the link again and keeps its status.

Statuses

Every proposal has one status. Declario sets some of them for you; you can change others by hand.

Viewed is set automatically the first time your client opens a sent proposal. Accepted and Rejected are set when your client signs or declines. Nothing sets Expired automatically.

Signed proposals are locked

Once your client signs, the proposal is a closed record. Its content, title, value, currency, valid-until date, client and status can no longer be changed by anyone, and its versions cannot be restored.

Only a signature locks a proposal. Marking a proposal Accepted by hand does not, and its status can still be changed.

Approval

Available from the Pro plan. When an admin turns on Require approval before sending in Settings → General, members with the Sales role can no longer send proposals directly. Admins and managers still can.

  1. The salesperson presses Submit for Approval. The proposal moves to Pending approval, and every admin and manager gets an in-app notification.
  2. An admin or manager opens it and chooses Approve & Send or Request Changes.
  3. Request Changes needs a note. The proposal goes back to Draft, and the note is shown to the salesperson in the editor.
  4. Approve & Send marks the proposal as Sent and notifies the salesperson.

Versions

Declario keeps snapshots of a proposal's title, blocks and total value:

  • when you press Save Version;
  • before every status change;
  • when you start editing again after more than 30 minutes;
  • before a version is restored.

History lists the versions and shows which blocks changed since each one. Restore this version copies its title, blocks and total value back; your current state is saved as a new version first.

Client comments

Your client can comment on the proposal page, under a name of their choosing. Comments are visible to everyone who has the link.

To read and answer comments, open the proposal's Preview while signed in. Your comments are marked as coming from the sender. New comments do not create a notification, so check the page.

PDF export

Download PDF, in the editor and in the preview, creates an A4 PDF of the proposal. You need to be signed in to use it; your client does not get a download button.
